Student Senate President

ROLE DESCRIPTION & RESPONSIBILITIES

 

1. Leads action to achieve goals established in the Senate 3-Year Plan

2. Main spokesperson for Student Senate & Madison College student body; makes presentations

3. Chair & Meeting Responsibilities: (1) Chairs Executive Council Meetings (1 / week, Fall & Spring); (2) Chairs General Assembly Meetings (1 / week, Fall & Spring; (3) Chairs Carry-Over Committee Meetings (1 / week or every-other week, Summer); (4) Works in collaboration with Vice President of Administration & Finance to plan meeting agendas; (5) Co-Chairs Student Activities Board Meetings (varies); (6) Serves on the Madison College – College Assembly for Shared Governance; (7) Participates in Madison College’s Vice President’s Student Advisory Council Meetings (1 / month); (8) Attends Madison College District Board Meetings (1 / month); (9) Chairs or serves on other committees, as appointed; (10) Meets weekly with Advisor to the Senate; (11) Prepares for & presents weekly reports: goals, accomplishments, decisions, plans for action, challenges & information

4. Schedules college representatives to provide informational briefings to the Senate: College President's Council, College Assembly or College Councils; Topic examples: environmental sustainability, security, advising, technology services, etc.

5. Appoints representatives to committees, with the approval of the Executive Council

6. Meets with college administrators, union officials, faculty members & other student leaders

7. Participates in focus groups, panels, receptions, ceremonies & college events

Term runs for a full-year (May to May). Serves approximately 5-10 hours / week in Summer, 12-15 hours / week in Fall & Spring.

Benefit Package for Senate President:

• Stipend: $250 Summer; $750 Fall Semester; $750 Spring Semester (pending role fulfillment assessment)

• Use of college-owned laptop or Senate-owned tablet (assigned for the duration of officer role)

• Senate-logo wear, name-tag, service-pin & certificate

Senate members, who are appointed to serve on a shared governance team (the College Assembly or one of the seven College Councils) & attend at least 50% of the scheduled meetings each summer & each semester, will be compensated, as follows: $125 for Summer, $250 for Fall & $250 for Spring. Please note that priority appointment goes first to seated Senators, then to Senate Vice Presidents. (The Senate President holds a designated seat on the College Assembly.)

 

Student Senate Vice President of Administration & Finance

ROLE DESCRIPTION & RESPONSIBILITIES

1. Administrative Responsibilities: (1) Maintains up-to-date personnel schedules, roster, attendance records, “to do” lists, Senate calendar of events; (2) Works in collaboration with Senate President to plan meeting agendas;(3) Prepares accurate & timely agendas, minutes, etc. (4) Posts up-to-date minutes, including bills & resolutions to the Senate website

2. Financial Responsibilities: (1) Monitors Senate Annual Budget (approximately $40,000); (2) Monitors purchases; (3) Voting representative on the Student Activities Board; (4) Leads the review & revision of Senate 3-Year Plan (includes developing the budget for the upcoming year)

3. Chair & Meeting Responsibilities: (1) Chairs the Senate Finance Committee; (2) Participates in the Senate Executive Council Meetings (weekly, Fall & Spring); (3) Participates in the Senate General Assembly Meetings (weekly, late on Thursday afternoons, Fall & Spring); (4) Participates in Carry-Over Committee Meetings (weekly or every-other week, Summer); (5) Additionally, serves on one or more Senate or College Committees, as appointed; (6) Meets weekly with Advisor to the Senate;

(7) Prepares for & presents weekly reports: goals, accomplishments, decisions, plans for action, challenges & information

4. Serves as one of the five Leaders on the Senate Executive Council; fills-in for Senate President, as requested

5. Meets with college administrators, union officials, faculty members & other student leaders

Student Senate Vice President of Legislative Affairs

ROLE DESCRIPTION & RESPONSIBILITIES

1. Parliamentary Responsibilities: (1) Serves as Parliamentarian at official meetings of the Senate Executive Board, Senate General Assembly & Carry-Over Committee, coordinating room reservations, equipment & timely network connections to Regional Campuses; (2) Works cooperatively with Vice President of Team Development to teach Senate personnel proper use of parliamentary procedures; (3) Enforces directives of Senate Constitution, Bylaws & Role Responsibility Agreements; (4) Works cooperatively with Vice President of Administration & Finance to monitor & enforce Senate attendance policies; (5) Serves as point person to verify & organize Senate applications; (6) Presides over Senate Elections & Swearing-In Ceremonies, administering the “Oath of Office” to newly elected Senate personnel

 

2. Chair & Meeting Responsibilities: (1) Chairs Senate Rules Committee; (2) Chairs Senate Legislative Affairs Committee; (3) Participates in Executive Council Meetings (weekly, Fall & Spring); (4) Participates in Senate General Assembly Meetings (weekly, late on Thursday afternoons, Fall & Spring); (5) Participates in Carry-Over Committee Meetings (weekly or every-other week, Summer); (6) May serve on other Senate or College Committees, as appointed; (7) Meets weekly with Senate Advisor; (8) Prepares for & presents weekly reports: goals, accomplishments, decisions, action plans, challenges & information

Wisconsin Student Government Responsibilities: (1) Serves as Governor & voting representative of Wisconsin Student Government, traveling to & participating in 5 statewide meetings / year; (2) Serves as a mentor to the Madison College WSG Lieutenant Governor; (3) Coordinates Madison College delegation to the Wisconsin Student Government Annual Legislative Seminar; (4) Organizes information campaigns to inform students of state & local issues affecting them; (5) Organizes & leads student lobbying efforts

 

4. Serves as one of five Leaders on the Senate Executive Council; fills-in for Senate President, as requested

Student Senate Vice President of Public Relations

ROLE DESCRIPTION & RESPONSIBILITIES

1. Public Relations Responsibilities: (1) Senate Spokesperson, communicating with students via social media (Blackboard, Facebook, YouTube, Twitter, etc.), websites & email; (2) Maintains up-to-date Senate presence on Madison College Student News, Madison College Matters (for faculty & staff), The Link, The Clarion & in Madison College Student Planner; (3) Promotes Commuter Services, Rental Textbooks, Reflection Room, etc.; (4) Strategic & appropriate use of Senate “brand” (banners, signs, college gifts, ads, clothing, give-away items, etc.); (5) Maintains updated brochures, posters, bulletin-boards, table-tents, displays, etc.

 

2. Events Coordinator Responsibilities: (1) Ensures Senate presence at New Student Advising & Registration, Learning-to-Learn Camp Convocation, WolfPack Welcome, Campus-Fun Days, WinterFest, College Fairs, etc.; (2) Coordinates forums & events: recruitment, welcome, awareness-raising, student appreciation, etc.

 

3. Chair & Meeting Responsibilities: (1) Chairs Public Relations Committee; (2) Participates in Executive Council Meetings (weekly, Fall & Spring); (3) Participates in General Assembly Meetings (weekly, late on Thursday afternoons, Fall & Spring); (4) Participates in Carry-Over Committee Meetings (weekly or every-other week, Summer); (5) May serve on other committees, as appointed; (6) Meets weekly with Senate Advisor; (7) Prepares for & presents weekly reports: goals, accomplishments, decisions, action plans, challenges & info

 

4. Recruitment Responsibilities: (1) Leads comprehensive Recruitment Plan, working cooperatively referring candidates to Vice President of Team Development for "campaign tips" & info about the organization, role-responsibilities, etc.

 

5. Serves as 1 of 5 Leaders on Senate Executive Council; fills-in for President, as requested

 

6. Meets with college administrators, union officials, faculty members & other student leaders

 

7. Participates in focus groups, panels, receptions, ceremonies & college events

ROLE DESCRIPTION & RESPONSIBILITIES

1. Office Management & Supervisory Responsibilities: VP of Team Development holds these responsibilities when Senate does not have a paid Office Manager. (1) Overall operation of Senate Office; (2) Coordinates office hours for Senate personnel; (3) Maintains organizational procedures for office; (4) Trains & supervises Senate personnel in the office

2. Teambuilding & Skill Development Responsibilities: (1) Trains Senate personnel about roles, resources, office use, parliamentary procedures, bill / resolution preparation, etc.; (2) Administers needs assessments of members; (3) Provides learning activities for members; (4) Promotes leadership development via Student Life & American Student Government Association

3. Recruitment Responsibilities: (1) Works cooperatively with Vice President of Public Relations to recruit students for Senate; (2) Communicates with candidates, encourages campaigning; answers questions about the organization, roles & requirements

4. Recognition Responsibilities: (1) Provides recognition for role fulfillment & contributions, via announcements, certificates, awards, pins, etc.; (2) Coordinates Senate Leadership Merit Award, cooperatively with Senate Advisor

5. Student Senator

ROLE DESCRIPTION & RESPONSIBILITIES

1. Knowledge & Skill Development Responsibilities: (1) Actively learns Senate roles, resources, office procedures & customer service skills, parliamentary procedures, how to write bills & resolutions, etc.; (2) Actively learns about the Senate as an organization (history, accomplishments, structure, committees, etc.) & about the college district (campuses, shared governance model, structure, history, etc.);  (3) Becomes aware of the Student Activities Board,  the Wisconsin Student Government & the Wisconsin Technical College System; (4) Becomes knowledgeable about the Senate coordinated Commuter Services Program at Madison College (parking, bus, para-transit, shuttles, B-Cycle, car-pooler preferred parking, funding, etc.);  (4) Utilizes resources such as: the Senate website, the Senate 3-Year Plan, the Senate Constitution & Bylaws, The LINK & the American Student Government Association website; (5) Seeks leadership development via Student Life Office & American Student Government Association

2. Public Relations Responsibilities: (1) Works cooperatively with Vice President of Public Relations & the Public Relations Committee to regularly engage students regarding ideas, concerns & opportunities at the college; (2) Communicates with students, faculty, staff, administrators and guests of the college, answering questions about the college & the Student Senate; (3) Meets with students, student leaders, faculty members, union officials & college administrators*, as required; (4) Makes announcements in each of his / her classes at least twice-a-month

* Regional Senators meet once-a-month with the Campus Manager at their location.

3. Meeting Responsibilities: (1) Serves as 1 of 15 elected Senators at the Senate General Assembly Meetings (weekly, late on Thursday afternoons, Fall & Spring); (2) Responsible to vote on behalf of student constituents in the Madison College District; (3) Participates in Carry-Over Committee Meetings (weekly or every-other week, Summer); (4) Reads & follows-through on agendas, minutes, committee directives, emails, etc.; (5) Thoroughly prepares sponsored bills & resolutions well before meetings

4. Committee Responsibilities: (1) Serves on at least 2 Senate & / or College Committees**, as appointed; (2) May serve as a Chair or Co-Chair for a Senate Ad Hoc Committee, as appointed;  (3) Meets with assigned committees for meetings, work sessions, events, etc.; (4) If serving as a Committee Chair, or designated to do so, prepares for & presents weekly reports: goals, accomplishments, decisions, plans for action, challenges & info; (7) Meets with Senate Officers and / or the Advisor, as required

** Regional Senators are required to serve on the Engagement Committee on their campus.

5. Office Responsibilities: Serves 2 scheduled office hours each week in Student Senate Office at Truax or other campuses***

*** Regional Senators are required to post & keep weekly “office hours” at a high-traffic time in the lobby of their campus building.

6. Events Responsibilities: Participates in Senate, Student Life & college sponsored events, focus groups, ceremonies, etc.

7. Optional Appointments: (1) May serve as the Wisconsin Student Government Lieutenant Governor from Madison College, as determined by the Senate; (2) May serve as Student Senate Alternate Representative to the Student Activities Board, as appointed by the Senate; (3) May be appointed as Chair of the Commuter Services Committee, as such, this Senator is NOT required to serve on any other committee & stipend is increased to: $150 Summer; $350 Fall Semester; $350 Spring Semester (pending role fulfillment assessment)

 

Term runs for full year (May-May). Serves approximately3 hrs / week in Summer; 5 - 7 hrs / week In Fall & Spring.

AGREEMENT TO SERVE

This agreement provides direction for student leaders elected to the Madison Area Technical College Student Senate.  The inclusive dates of this agreement are ___/___/___ through ___/___/___.  The Senate Vice President of Legislative Affairs in his / her role as Senate Parliamentarian will monitor role fulfillment.  The Student Senate Advisor will have ultimate responsibility for periodic role assessments and compensation consequent to the level of role fulfillment.
